Dear Coquitlam Little League family,

I hope all of you are finding ways to get back into a routine of school, work and other Fall activities in a safe way. I wanted to reach out to all of you to discuss the League's current financial situation and present our solution to your 2020 registration fees given our current financial situation.

The Board of Directors is actively developing solutions to prevent the League's situation from happening again. These new practices will be rolled out and used by the outgoing and incoming directors but it does not change the fact that we have outstanding money owed to our community.

MVP Athletic Supplies

MVP Athletic Supplies is a family owned business that has been a strong supporter of Coquitlam Little League over the years by meeting tight deadlines and offering great prices on top quality equipment and uniforms. Equipment and eight + sets of new uniforms were purchased per the 2019/2020 approved budget for the 2020 Spring season before COVID-19 suspended all game play. Typically, costs would be covered by registration revenue and were supposed to, until the discovery of the missing funds. The balance owing from Coquitlam Little League to MVP Athletic Supplies is currently in excess of $50,000.

2020 Family Registration Fees

When the Board of Directors suspended the season (and thought our financials were accurate), we were committed to offering full refunds. With minimal funds in our bank account, we do not currently have the resources to offer full refunds but we do want to find a solution that works for families. With over 700 players registered annually, revenue from registration fees is above $100,000 annually. At this point we are encouraging families to accept a credit towards their 2021 season. Families who request full refunds will be responded to on a case by case basis with no current timeline to process the refund given that we do not have the financial resources required to do so.

2021 Operating Costs

Our revised budgets show that we need a minimum of $60,000 revenue to offer a high-quality experience for your child. If we give most families credits then we will not have the operating revenue needed, let alone be able to pay back money owed to vendors.

As a Board, we are humbly asking that you consider a donation of funds to the League that would be identified for specific items that go back to the players. This includes items like our Umpire Program where CLL players are given job skills and the opportunity to earn money, and player photos.

Asking for donations was a difficult decision for the Board because we know that each family has their own financial circumstances. All responses will be confidential.

Since the end of the 2019 season, the Board has identified that our current registration and communication platform needs to change. We are excited to share that the work done over the past year is beginning to take shape in the launch of a new registration and communication platform: SportsEngine. In addition to being a more affordable option for the League, we will be able to offer a higher quality experience for the ways that families register, engage in their team mobile application and receive communication from the League.

This survey is intended to do two things: give you the opportunity to register for our new platform and share how you want us to proceed with your family's 2020 registration fees. Please take a few minutes to complete the survey. If families have not completed a survey or been in touch by the end of October, a credit (of your 2020 registration fees) will be placed on your account.
